In Halaxy, Ontario Health Insurance Plan (OHIP) is available as a preset funder for practices located in Ontario. The preset includes all fees covered with their corresponding rebates. This means all you need to do is import fees to appointments, add your practitioner identification, and set up the patient claim.
In just a few clicks, the appointment invoice automatically configures all the necessary information for you.
By setting up your billing, your invoices keep record of all your patient appointments and serve as a guide for when you submit your claims.
This checklist outlines what you need to do to set up your practice billing.

When all your requirements are in place, your invoices containing OHIP fees are automatically set up with all relevant information.
This step adds OHIP fees and services - with their fee code and rebates - to your practice. This step can be done as needed when creating patient appointments. By importing from Halaxy's preset fee library, any changes to rebates are automatically done for you.

On the calendar, click on a timeslot to create a patient appointment.

For Fees, enter the name or fee code of the service, then click the fee to import it. The fee must be under the Ontario Health Insurance Plan funder.

(Optional) In the pop-up, configure any settings for this fee standardized in your practice. Examples:

Duration: Enter the number of minutes that is allotted for this service.

Amount: If you are charging higher than the rebate for this service, set the Amount to the rebate plus the out-of-pocket fee the patient must pay. Do NOT edit the Rebate value.

Color / Text Color: Select the colors for the appointment background and text whenever this fee is booked on the calendar.

Click Import Fee. This service has now been saved to your practice and can be reused in new appointments.

To import multiple fees to add to this invoice, repeat Steps 2 to 4 .

In the appointment panel, click Save to create the appointment and automatically generate the invoice. (In the newly created appointment, click Invoice to open it.)
You have successfully imported your fee - and also created an appointment, clinical note and invoice.
Tip
If you want to set up all your fees and services without needing to create appointments, you can also import them from the Fees List.
This step adds the patient's claim identification, which verifies their enrollment and eligibility for coverage with OHIP. This step can be done as needed when creating patient appointments.

From the patient's appointment on the calendar, under the claim section, click the
pencil icon.

In the pop-up, enter the patient's details for their claim:

Click Save.

If required, click Add Referral to enter the patient's referral details.
The claim is added successfully to the patient's profile and any of their appointment invoices that contain any fees under the OHIP funder.
Tip
If you want to set up your patient's claim without creating an appointment, you can enter their claim in the Funding tab of their profile.
This step sets up your identification numbers for the OHIP funder. If you have multiple practice locations, you'll need to add your identifications per location.

From the patient's appointment on the calendar, click Invoice.

Under the Practitioner Details section, under Identification, click the
pencil icon.

In the pop-up, enter your OHIP Billing Number and Group Number.

Click Save.

(Optional) If you haven't entered your practice address yet, next to Practitioner Details, click Edit to set up your practice details.
You have successfully added your identifications for this funder. Whenever you create an invoice with fees under the OHIP funder, these identification numbers are automatically displayed on the invoice.
If you've completed all these steps, all you need to do is create appointments with the OHIP fees then set up claims for new patients, and then your invoices are automatically set up.
